This role is responsible for identifying gaps in the supplier management process, recommending enhancements to mitigate risk, and ensuring the efficient functioning of supplier-related activities. The Vendor Specialist will work closely with internal stakeholders to streamline vendor processes, maintain accurate and up-to-date supplier information, and support procurement activities by ensuring effective supplier relationshipsJob Description1. Manage the end-to-end supplier registration and onboarding process, ensuring all necessary documentation is completed, verified, and stored in line with company policies.
2. Identify gaps or weaknesses in the supplier relationship management program and recommend process improvements to reduce risk and enhance supplier performance.
3. Monitor supplier performance against key metrics (e.g., delivery timelines, product/service quality, compliance) and provide regular reports to internal stakeholders.
Maintain and cleanse the supplier database to ensure all records are accurate, complete, and up to date, eliminating duplicate or inactive suppliers.
4. Develop and enforce standardized processes for managing supplier information, contracts, and performance documents.
5. Ensure the company’s vendor management activities comply with regulatory requirements and internal policies, reducing risks associated with non-compliance.
6. Manage vendor communications, addressing inquiries, resolving disputes, and ensuring a high level of supplier engagement.
7. Deliver training internally and to suppliers on Coupa platform
8. Develop and maintain SOPs and training guidesFunctional/Technical Competencies1. Strong knowledge of supplier relationship management principles and best practices.
2. Experience with vendor databases and procurement software tools for maintaining and cleansing supplier records.
3. Ability to analyze supplier performance data to identify trends, issues, and opportunities for improvement.
4. Knowledge of risk mitigation strategies in procurement and supplier management.
5. Familiarity with contract management and regulatory requirements for supplier engagements.Additional Skills1. Strong organizational skills and attention to detail for managing large volumes of supplier data.
2. Excellent communication and interpersonal skills for managing supplier relationships and collaborating with internal teams.
3. Strong problem-solving skills, with the ability to identify root causes of supplier performance issues and recommend actionable solutions.
4. Proficiency in Microsoft Office (Excel, Word) and supplier management software.
