Job description: Primary Purpose: The Office Coordinator will act as the main contact for office activities and issue resolution with the warehouse and head office. They will also provide inside sales and support to customers in the assigned region, as well as providing full backup for the outside sales representatives.Essential Job Functions:Customer Service

  • Coordinate with Head Office to establish and set up new customer accounts, including data entry and processing of new customer credit applications.
  • Manage customer orders/shipments ensuring timely fulfillment and assisting in inventory planning/management.
  • Process customer orders and payments, including walk-in customers.
  • Provide customers with accurate information regarding shipping costs and delivery times where necessary.
  • Maintain and improve customer service by developing customer relationships and staying in contact with customers to ensure the flow of communication.
  • Assist with timely handling and resolution of customer product complaints, including changes to purchase orders, and obtaining serial numbers and other relevant information.
  • Answer incoming phone calls from customers to process or trace their purchase orders using the Company’s ERP.

Office

  • Maintain organization of the office, specifically keeping the office and showroom customer ready.
  • Acting as the main point of contact during business hours at the branch.
  • Become knowledgeable regarding key features and benefits of products and product groups to promote and sell products, and provide application support to customers.
  • Gain a thorough knowledge and understanding of the ERP system.
  • Provide back-up coverage for other members of the local team in accordance with Company’s policies.
  • Provide and implement suggestions and initiatives to increase overall efficiency.
  • Ensure strict confidentiality with company and customer information.
  • Provide back-up coverage for other members of the local team
