And your colleagues will be there to motivate and inspire you every step of the way.Position PurposeThe role of the Supply Chain Returns specialist is to take responsibility for end-to-end hearing devices and accessories returns flow & physical returns process. This includes developing & preparing returns inventory management reports; monitoring returns Purchase Orders errors & collaboration with central team and suppliers to resolve returns issues. This role will take ownership of the return rate, credit note recovery & returns inventory accuracy. Taking a lead in scaling up centralised returns capabilities.Key AccountabilitiesThe responsibilities of the Returns Specialist include but not limited to:Return Purchase Orders (RPOs) & Supplier Management

  • Monitor and manage RPO flow
  • Collaborate with central team & supplier to resolve RPO flow error
  • Follow up clinics to ensure physical return is shipped timely & tracked accordingly
  • Ensure accuracy of returns penalties & Credit Note is Recovery according to returns policy
  • Maintain clear communication with suppliers regarding return status and related issues

Returns Stock Management

  • Oversee the receipt and processing of inbound return stock to ensure accuracy and efficiency.
  • Verify stock deliveries against purchase orders and investigate any discrepancies.
  • Work closely with warehouse team to resolve issues related to inbound stock.
  • Ensure timely updating of stock records in ERP systems
  • Collaborate with other functions including sales coordinators, IT, Supply Chain teams to improve returns flow to warehouse.

Returns Processing & Compliance

  • Process all inbound product returns in a timely and accurate manner.
  • Ensure returned products meet supplier-specific return policies and requirements.
  • Collaborate with internal teams including sales coordinators, Integration teams, Finance & Inventory specialist to improve returns flow to warehouse & resolve return-related discrepancies.
  • Investigate and follow up on missing returns, ensuring timely resolution.
  • Maintain compliance with company return procedures and quality control standards.

Inventory & Stock Accuracy

  • Conduct quality control checks to ensure unused hearing aids can be returned to inventory
  • Review and manage aged hearing aid stock, identifying opportunities for utilization or disposal.

Process Improvement to scale up centralised returns

  • Identify, propose and implement returns process improvements to enhance efficiency and accuracy in returns management.
  • Implement centralised returns for hearing products.
  • Ensure adherence to internal controls and compliance with return policies.

Stakeholder Engagement & Team Collaboration

  • Share insight on returns & inbound to the Warehouse Lead, ensuring smooth operations.
  • Provide necessary return-related information and documentation to internal and external stakeholders.
  • Follow up on return-related inquiries and ensure all emails are actioned in a timely manner.
  • Actively participate in Support Office and Team meetings to maintain alignment and clear communication.

Professional AttributesWork Experience Essential:

  • 2 to 3 years of experience in Supply Chain, Logistics, or a related role.
  • Proficiency in Excel (Intermediate to Advanced level required).
  • Experience in process improvement initiatives
  • Experience working with ERP systems such as FOX, JDE, or Oracle.
  • Stakeholder management

  • Strong organization and ability to prioritise tasks
  • Persistent follow up skills
  • Patience, resilience and tenacity to face the challenges of a fast-paced, fluid environment
  • Excellent interpersonal and communication skills, both written and oral
  • Strong computer literacy skills and skilled in Microsoft Excel, Microsoft Outlook

Formal qualification:

  • Bachelor’s degree in Logistics, Supply Chain Management or Business.
