Our Intramurals programs are driven by students for students with professional leadership and direction, and you will bring your experience and dedication to support this team in continuing to enhance the programs and services we offer. You will be joining a passionate group of Recreation professionals who are part of the Gee-Gees Recreation and Varsity Sports (RVS) Department. Within Recreation, we focus on delivering programs to more than 50,000 students, employees, Alumni and external members in the areas of Aquatics, Fitness, Instructional, Intramurals, Recreation and Camps programs. In addition, RVS oversees a storied varsity program with a rich history dating back to 1848. As one of the oldest university sports programs in Canada, the Gee-Gees have consistently demonstrated excellence in both academics and athletics. With numerous national championships and a tradition of fostering top-tier student-athletes, the Gee-Gees varsity programs are a symbol of pride and achievement within the Nation’s Capital.The incumbent assists with the organization of programs for the Recreation sector and is responsible for the planning and implementation of activities and events for students, employees, and the external community according to the relevant program focus compliant with applicable policies and procedures. These programs are a major contributor to the student experience on campus, the reputation of the university in providing programming to the surrounding community, and provides a significant source of revenue generation for Recreation and Varsity Sports (RVS)In this role, your responsibilities will include:Plan programming for their respective portfolio (assigned by Supervisor) in collaboration with other sectors within RVS, other departments within the university, and external partners. For this purpose, also reserve all sport facilities, meeting rooms, and coordinate programming scheduling required to effectively run programs. Excellence in programming delivery and user experience are at the core of all decision-making.Provide friendly and responsive service, over the phone, electronically, and in person, including assistance with monitoring and responding to social media queries, preparing, and administering e-mail communications, and on-site delivery support. Where appropriate, welcome people who arrive in person; responds appropriately to general requests for information from customers and guide them in applying the general internal procedures of the department/program/event with a view to providing high quality service. Specific attention will be required in implementing programming within a vulnerable sector that includes the components of teaching, development, intervention management, and social work.Provide support and assistance in program policy implementation and the various registration processes. Assist in responding, supporting, resolving issues and challenges that surface within programs including any participant disciplinary procedure and ongoing management.Assist in the hiring process, onboarding, training and supervision of casual student/program staff with department processes in an experiential learning and outcome-based environment.Prepare requests for remuneration and required documentation for the generation of employee and job profiles. Coordinate the process for the Work Study program to support operational needs of the sector.Assist in the management of an established budget for their respective programs, including tracking of expenses and opportunities to maximize efficiency and revenue. To support this, provide various reports and metrics, on a scheduled or ad-hoc basis, on activities of the department/program/event to support ongoing operations evaluation and strategic planning. Actively participate in annual planning sessions for the sector.Implement and maintain an effective electronic and where required, physical filing and records management system to preserve confidentiality of the records and ensure that complete and accurate documentation is available for future reference or audit purposes.Draft and update documents for internal use on procedures, processes and systems related to the incumbent’s responsibilities.Assist in the development of communication materials and digital content for print, the Recreation website and various social media platforms. Assist in the development and delivery of the Recreation Social media strategy working with their supervisor and student content creators.Provide overall support on various Recreation sector special projects and services when requiredWhat you will bring:

  • Post Secondary education in a related field, preferably in Physical Education, Kinesiology, Sport Administration or Sport Management, or Business Administration/Commerce. University degree preferred.
  • 2 years of previous work experience in administration and recreation programming and support. Consideration will be given for the equivalent combination of education and experience.
  • 2 years proven experience in supervising student employees in a post-secondary environment
  • Bilingual essential (French and English)
  • Strong understanding of how recreation impacts the student experience, and the role recreation has in supporting/cultivating healthy communities.
  • Demonstrated client services orientation and strong communication skills
  • Experience problem-solving in high-stress, fast-paced environments.
  • Strong interpersonal skills, diplomacy and tact.
  • Ability to produce high quality work under pressure while meeting strict deadlines.
  • Advanced organizational skills: ability to manage multiple tasks simultaneously.
  • Ability to work as part of a team.
  • Strong sense of autonomy and self-motivation.
  • Valid police vulnerable sector check and certification in Standard First Aid with CPR-C and AED from a WSIB approved provider
  • Computer and office skills, including advanced use of MS Office required. Familiarity with graphic design applications considered an asset.
  • Familiarity with use of Social Media Applications including Facebook, Twitter, Instagram and LinkedIn.
  • Ability to work frequent evenings and weekends, according to program and area needs.
