Position details:
The Invoice Management Specialist plays a crucial role in supporting the organization’s strategic HR initiatives through effective vendor and invoice management. Designed for a dynamic professional skilled in navigating vendor relationships, compliance, and risk monitoring. The specialist will work closely with Head Office, regional Business Management teams, Finance teams, Centers of Expertise (CoEs) and country-specific HR teams to ensure effective management of vendor contracts, invoice payments and compliance with MUFG policies.
This position reports to the MGS GHR Leadership Hirarchy, playing a key contributor to the GHR operations team of MGS supporting MUFG Global entities, This role involves leveraging expertise in vendor management to support strategic HR initiatives, directly contributing to the organization’s strategic goals.
Roles and Responsibilities
You will be responsible for the following:

• Serve as the central point of contact for receiving and verifying invoices, flagging discrepancies, and liaising with vendors and service receivers to resolve any issues with respect to Global HR/Operations portfolios
• Manage the approval process for payments, including procurement checklists and AML administration, to ensure compliance with local finance governance.
• Collaborate with the local Finance team on payment arrangements and address any internal and external inquiries regarding account booking and payment status.
• Ensure operational effectiveness, vendor performance, and compliance, staying informed of market trends and regulatory requirements.
• Be an active participant in changing management processes to adapt vendor management strategies to evolving business needs and strategic objectives.
• Proficient MS skills for preparing reports, dashboards, scorecards and presentations
• Flexibility to work in different time zones (this is mandatory)

Job Requirements:

• Experience of 5-7 years in Business Operations or Business finance in reputed global organization
• Expert and in depth experience in invoice management, vendor management and vendor billing
• In depth knowledge of global vendor invoice process, procurement guidelines and systems
• Expert in Excel and reporting skills
• Proficient in Accounting Principles
• Willingness to work in shifts across time zones
