Job description: The Opportunity:The RFP Analyst plays a key role in helping Avantor win contracts. This role is responsible for preparing, coordinating, and managing bids, tenders, or proposals in response to requests for proposals (RFPs), requests for quotations (RFQs), or other procurement solicitations. This role is responsible for the overall completion of the bid from start to finish.What we’re looking for

• Education: Bachelor’s degree in Business, Engineering, Supply Chain Management preferred, or a related field or equivalent/applicable experience.
• Experience: 2-3 years’ experience in bid or proposal management, sales, or procurement required.
• Strong Analytical Skills: Ability to break down complex bid requirements and prepare accurate, detailed proposals.
• Project Management Skills: Excellent organizational and time management skills to handle multiple bids simultaneously.
• Communication Skills: Strong written and verbal communication skills to create persuasive and clear proposals.
• Collaboration: Able to work closely with multiple departments (e.g., finance, legal, technical teams) to gather inputs for the bid.
• Attention to Detail: Ensuring that the bid is error-free, compliant, and meets all the client’s requirements.
• Negotiation Skills: Able to liaise with suppliers, subcontractors, and clients to negotiate terms and pricing.
• Knowledge of Industry Standards: Familiarity with procurement and contract processes, relevant regulations, and industry-specific requirements.

• Collaboration Tool: High-functioning Microsoft Office user and writer; technical writing experience preferred.
• Preferred Qualifications:

• Previous experience with bid writing software or platforms such as Salesforce, Microsoft Project, or procurement portals.
• Certifications in bid management, project management (e.g., PMP), or procurement (e.g., CIPS).

How you will thrive and create an impactBid/Proposal Preparation:

• Review and analyze RFPs, RFQs, and other solicitation documents to fully understand the project requirements, scope, and deliverables.
• Prepare detailed proposals, including cost estimates, timelines, and resource plans, to submit competitive bids.
• Ensure all bid submissions comply with the client’s specifications, internal company policies, and industry standards.

Project Coordination:

• Facilitates RFP kick-off calls and additional implementation calls with business owners and leadership.
• Coordinate with cross-functional teams (e.g., sales, legal, finance, regulatory) to gather necessary information and ensure the proposal is complete and accurate.

• Assign tasks to relevant team members and manage timelines to ensure the proposal is completed by the submission deadline.
• Work closely with subject matter experts to develop the technical and operational components of the bid.

Documentation and Presentation:

• Create high-quality, professional bid documents that reflect the company’s capabilities and align with customers’ requirements.
• Present the proposal internally for approval and, if necessary, to the customer during bid clarification meetings.
• Ensure proper formatting, grammar, and technical accuracy in all bid documents.

Risk Analysis and Mitigation:

• Identify and assess potential risks or challenges related to the bid or project, such as financial, legal, or operational risks.
• Propose solutions to mitigate identified risks and ensure compliance with relevant laws and regulations.

Bid Submission and Follow-Up:

• Submit bids on time through appropriate channels, whether electronically or physically.
• Track the progress of submitted bids and maintain communication with the client or procurement teams for feedback and clarification.
• Participate in post-bid evaluations or debriefs to gather insights for future proposals.

Market and Competitor Analysis:

• Conduct research on competitors’ bids and pricing strategies to ensure that the company’s proposal is competitive.
• Stay informed about market trends, pricing fluctuations, and potential opportunities in the industry.

Process Improvement:

• Continuously improve the bidding process by identifying inefficiencies, proposing automation solutions, and implementing best practices.
• Maintain a database of past bids, pricing structures, and success rates to streamline future proposals.
