The Schulich School of Medicine & Dentistry is the largest Faculty on the Western University campus and employs over 2,000 part time and full time faculty and over 1,500 staff.The Schulich School of Medicine & Dentistry’s Office of Distributed Education is part of the Education Portfolio of the Dean’s Office. It is funded by the Ministry of Health and Long-Term Care and is one of Canada’s largest distributed medical education programs. It is comprised of an Assistant Dean, Distributed Education, a Manager, administrative team of 6 and 900+ preceptors located in over 60 communities located throughout Southwestern Ontario. Schulich Medicine’s Distributed Education office facilitates rural and regional education and training opportunities to undergraduate and postgraduate learners.ResponsibilitiesThe Regional Education Coordinator, Lambton manages the day-to-day administrative and logistical functions of various programs in the Schulich School of Medicine and Dentistry’s Office of Distributed Education, and will be located at Bluewater Health, Sarnia hospital office. The role assists with the alignment of resources to best support the achievement of program objectives and will facilitate the development and monitoring of related processes. The Regional Education Coordinator participates in developing strategies and events related to program initiatives, including postgraduate and undergraduate trainee community rotations, the Sarnia Longitudinal Clerkship (a new component of the Clerkship program of undergraduate medical training), faculty development retreats, and community coordinator workshops, and will ensure the successful implementation of all aspects of the programs.The role collaborates with distributed faculty, medical learners, community partners and Schulich School of Medicine & Dentistry personnel within the programs, ensures that they have the necessary support, information, documentation and resources, and provides expertise regarding the programs, academic issues, program progression, and other related policies and procedures. The position also supports the development of community engagement materials aimed at enhancing the reputation and awareness of the programs.QualificationsEducation:

  • Undergraduate Degree in Business Administration or relevant discipline
  • Completion or, or working towards, Project Management Professional designation preferred

Experience:

  • 5 years of project management experience in an academic environment
  • Experience with developing, implementing and interpreting academic policies and procedures
  • Experience assisting with the preparation of budgets and monitoring accounts is preferred

Knowledge, Skills & Abilities:

  • Familiarity with best practices for assessing, developing and implementing new business processes and procedures
  • Familiarity with financial budgeting with the ability to ensure expenditures and resources are within allotments, and to make appropriate modifications when required
  • Knowledge of the requirements of undergraduate and postgraduate medical education would be an asset
  • Familiarity with Ontario’s legislation relating to equity and discrimination preferred
  • Knowledge of Western University, and in particular, the Schulich School of Medicine & Dentistry policies and guidelines preferred
  • Familiarity with cross-cultural differences and norms, sensitivity to individuals’ ethnic backgrounds, religious customs, beliefs and expectations, with the ability to establish rapport with people from diverse backgrounds
  • Demonstrated ability to manage cross-sectoral projects, involving a variety of stakeholders, from conception to completion within tightly prescribed timelines
  • Ability to plan and manage events of various sizes; familiarity with large scale events an asset
  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Ability to write clear, concise and accurate procedural documentation
  • Ability to work in a manner that models best practices in confidentiality standards
  • Ability to apply creativity, innovation and resourcefulness to daily work
  • Ability to understand customer needs and expectations and provide excellent customer service to directly and indirectly satisfy expectations
  • Attention to detail with an ability to retrieve, analyze and synthesize sizable amounts of data, while ensuring that information is accurate and comprehensive
  • A well-defined sense of diplomacy, including solid negotiation and conflict resolution skills
  • Discretion, tact and maturity to deal with highly confidential subjects or issues
  • Ability to multi-task and maintain an organized and effective personal work environment
  • Ability to work within a flexible schedule to accommodate the University’s events and activities
  • Ability to listen, inform, explain, and advise stakeholders on academic processes and regulations
  • Intermediate computer skills in Microsoft Office Suite and with various other applications and databases including Content Management Systems (such as Cascsade), Learning Management Systems (such as OWL), HR information systems (such as PeopleSoft), and scheduling and purchasing software
