As a Receptionist / Accounts Payable Administrator, your responsibilities will include:– Ensure that quantity and description are matching to packing slip and price agrees to purchase orders before processing.
– Code all invoices with G/L Distribution when processing.
– Verify Invoices for correctness to posting edit list before posting.
– Process debit memos when adjustments are necessary to vendor accounts.
– Verify that vendor statements are balanced with current records and all returnable container credits are received.
– Weekly cheque runs paying utilities, employee expenses, garnishees, postage and vendor discounts.
– Monthly cheque run for payment for all vendor accounts.
– Telephone for cheques by courier collect/picked as requested by vendors.
– Filing for all paid invoices after cheque runs are complete and other reports as required.
– Responsible for petty cash to ensure a supply is always on hand and responsible to keep balanced.
– Phone contact with vendors to deal with their inquiries in a timely efficient manner.
– Responsible to close the month end and year end periods.
– Resolve disputes with vendors, purchasing and receiving.
– Other duties as required.Qualifications
– Post-secondary education in Finance, Accounting or Business Administration is required or experience in a related field
– 1-3 years experience. n manufacturing setting is considered an asset.
– Solid basic accounting principles, fair credit practices, and collection regulations
– Proficient in Microsoft Office – including Excel
– Excellent communication both verbal and written
– Great organizational skills and a keen eye for attention to details
