What this job involvesAs a receptionist, you will play a key role within the Receptionist team. Reporting to Reception Supervisor, you are the first point of contact for all incoming calls from clients, employees and the general public. Ensuring the experience provided is seamless, welcoming, professional, aligned to the highest standards required by JLL and our client is paramount.

  • Manage the telephone console, receive and divert incoming calls
  • Receive, greet, guide visitors including co-ordination with employees
  • Responsible for maintaining telephone registers and phonebook update
  • Responsible for maintenance and upkeep of the front office/ reception area – clean and presentable at all times
  • Distribute of internal and external mails throughout the office and coordinate with courier companies to handle outbound mails and parcels
  • Handling incoming and outgoing mails/parcels, release incoming mails/parcels notifications through the system and assists employees in collecting their mails/packages
  • Handling export and import documents/packages including contacts with courier service for pick up arrangements and contact with related BU for import package confirmation.
  • Keep the Reception Desk area neat and clean and assist employees if there are any urgent requests specially when need to contact with the cleaning staff or electrical handyman
  • Co-ordinate the printing of business cards
  • Responsible in distribute the Name Plates for employees once vendors deliver
  • Responsible in Vehicle Car Plates and Scooter Registration and update the data in the system
  • Assist HR in registration of candidates visit for interview and contact with the interviewer
  • Vendor registration and temporary badge management
  • Employee temporary badge management
  • Provide assistance in general administrative activities and any other duties as assigned by
  • Co-ordinate and assist with local office events
  • Contribute information of inclusion in the Monthly Report submitted to
  • Ensure compliance of regulations / requirements of management

  • At least 1 to 2 years of prior experience service-oriented position.
  • Able to cooperate and work well with others to meet targets
  • Support the team effectively as and when needed
  • Able to interact with the general client staff & vendors with ease
  • Demonstrates proactive & professional approach to customer service
  • Has a customer-oriented attitude
  • Fluency in English and Mandarin
  • Willingness to learn and adapt in a fast-paced environment
  • Proficiency in facilities management software and MS Office suite
