Support to Programme and Project Management: This task entails the following activities:
- Provide project management support to the Programme component on the core PMO activities: budget, schedule, risks and reporting and activities stemming from these, such as but not limited to production of relevant summaries, production of visual content, preparation of Excel overviews, Pivot tables, dashboards on PMO subject matter as per business needs;
- Provide expert PMO support for the progress monitoring of transversal projects involving multiple EUSPA Departments and stakeholders;
- Provide project support in the planning and implementation of key reporting activities and in the adoption of new tools for more effective project management and control;
- Planning, coordination and launch of Quarterly reviews via DMS for the input collection of Quarterly Implementation Reports and AIRs (deliveries to EC), for relevant Programme components.
- Collection of inputs, quality check, drafting of summaries and critical review of main documents and supporting Annexes.
- Preparation of Data Packs prior CADM dispatch for mandatory reports stemming from FFPA/CA obligations.
- Launch and provide support in the iterations with the EUSPA Legal Department for the yearly Statistical reporting exercise;
- Provide support to the Asset management activities. Facilitate the interfaces between the project managers and the EUSPA Asset Manager for the management of the programme inventories and the Asset reporting to European Commission.
- Support the definition and follow up of programme components and project KPIs enabling the dynamic project implementation and results;
- Support in the EUSPA’s project portfolio management and related programme and project dashboard maintenance, in particular for R&I activities and GRANTS funded projects.
- Review, preparation, collection and dissemination of internal comments related to external ad-hoc documents
- Action items monitoring
- Interface with external stakeholders for possible improvements at process and operational level.
Risk and Opportunity Management : The objective of this task is the provision of support on the risk management process across the agency and through every of its programmes. The candidate is expected to provide support on the following activities:
- Review and contribute to the further development and maintenance of overall exploitation risk and opportunity registers and risk management processes in line with the risk management plan both at programme and project level.
- Preparation of Programme component and project input to the Risk Management Boards including interface with external stakeholders.
- Preparation of agenda, visual content and MoMs.
- Contribute to the integration of risk into overall schedule and cost estimates, including earned value management techniques, quantitative and qualitative assessment.
- Review and analyse the programme and projects reports to identify changes in the risks profiles.
- Regular updates of the risk management plan.
- Risk register maintenance including mitigation actions and follow-up activities.
Schedule Management: The objective of the schedule management task is to support the schedule management related activities. The candidate is expected to provide support on:
- Preparation of Programme and project input to the Programme components and EUSPA’s projects Schedule Management Boards.
- Review and contribution to the further development and maintenance of integrated schedules, including different levels of programme, services and project.
- Identification and resolution of schedule and planning conflicts, development of project critical paths (use of Microsoft Project or other tools identified by the EUSPA).
- Review and analyse the programme and projects reports to identify changes in high-level interdependencies and schedule drifts. Generation of alerts.
- Provision of risk and cost adjusted schedule
