A day in the life:
- Support the portfolio team with the following:
oManage portfolio calendar & inbox
Schedule meetings, key events, interviews, workshops, trainings and gatherings
oCollaborate with key global team members, primarily based across North America and Asia (including our India Tech Hub)
oDraft, edit and share portfolio communications in conjunction with key team members
oSupport additional tasks when required
- Communicate and collaborate with organizational leadership, key program/project leads and the coordinator team to support in the following tasks for the Portfolio organization:
oSupport in the creation, maintenance and enrolment in portfolio-wide processes across the organization
oDocument and distribute meeting notes and recordings for Portfolio owned meetings, in addition to organizing follow up items, actions, and sessions
oCoordinate meeting and event logistics – inclusive of venue/rooms, meals, vendors, rides, etc (when applicable).
oMaintain program documentation, while consolidating document platforms to ensure simplicity and increase ease of finding documents
oCoordinate new team member onboarding to the Global Product Technology portfolio, ensuring all administrative tasks are completed in a timely manner
oRegularly maintain and audit organization wide personnel head count tracking tools and report on organizational metrics
oRegularly maintain and audit organization level distribution lists and other communication tools for accuracy
- In collaboration with our teams, organize, deliver and participate in Program Team activities and celebrations
Qualifications
- Proven work as a Project Coordinator or similar role.
- Demonstrated knowledge of best practice project management methodologies and a desire for continuous improvement
- Working knowledge of Smartsheet, SharePoint, and the MS Suite.
- Must be analytical, flexible, team-oriented
- Good interpersonal and communication skills
- Very strong organization and follow-up capabilities
- Understanding of software development frameworks and technologies
- Bonus asks
oExperience working in an Agile environment
oJira and Confluence mastery
- Comfortable in a high growth, fast paced, ever changing environment
- Excellent communications skills: verbal and written
- Ability to meet agreed performance and quality targets
- Enjoys working with team members on solving day to day issues
- Strong documentation skills
- Self-confident, outgoing and able to work effectively with management and staff
- Entrepreneurial spirit – willing to try new things
- Self-motivated, passionate, empathetic, and approachable
