Job description: Equation Staffing Solutions is proud to partner with the City of Calgary to fulfill their temporary staffing needs. We are currently seeking a Procurement Administrative Assistant to provide essential administrative support to the procurement team.   • Provide comprehensive administrative support to various departments within the City of Calgary
  • Enter requisitions, approve invoicing, and manage FSCM for requisitions, invoices, and purchase orders
  • General knowledge of SAP Ariba and related systems
  • Prepare memos on financial/procurement processes following the Delegation of Authority
  • File Change Order Forms and Contract Letters as required
  • Assist with general administrative filing and provide support in a collaborative team environment
  • Answer questions pertaining to the duties and provide assistance as needed
  • Collaborate with team members to support ongoing projects and initiatives

Qualifications:

  • 2+ years of proven experience in administrative or office support roles, preferably within a public sector or government environment
  • Intermediate proficiency in Microsoft Office 365
  • Previous experience with FSCM (Purchase Orders/Requisitions)
  • Experience using SAP Ariba
  • Knowledge of City systems/processes
  • Experience with PeopleSoft and other relevant software.
  • Ability to prepare memos on financial/procurement processes following the Delegation of Authority.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
  • Excellent written and verbal communication skills, with a professional and courteous demeanor
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software
