Vaughan is your place to grow.Position OverviewSupports the Public Works portfolio by assisting with process improvement initiatives, health and safety operations, and digitalization projects. This role contributes to the development of SOPs, field inspections, and compliance activities while fostering a culture of operational excellence and safety.This position is partially funded by Canada Summer Jobs. To be eligible, youth must:
- be between 15 and 30 years of age at the start of the employment*;
- be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment**; and,
- have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
*The youth must be 15 years of age at the beginning of the employment period. The youth may be more than 30 years of age at the end of the employment period as long as the youth was 30 at the beginning of the employment period.
**International students are not eligible participants. International students include anyone who is temporarily in Canada for studies and who is not a Canadian citizen, permanent resident, or person who has been granted refugee status in Canada. Youth awaiting a refugee status ruling, as well as those who hold a temporary visitor visa, youth visa or work visa are ineligible. As the objective of the Canada Summer Jobs program is to support youth entering the Canadian labour market, the temporary nature of an international student’s time in Canada does not allow for a long-term connection to the labour market.ResponsibilitiesAdministrative Duties:
- Coordinate training courses to ensure ongoing compliance with the training matrix.
- Perform data entry and maintain clerical records for training compliance.
- Provide general administrative support for quality, process improvement and safety initiatives.
Technical Duties:
- Develop, review, and maintain Standard Operating Procedures (SOPs) to promote operational consistency and compliance.
- Support process mapping and assist with the identification, documentation, and implementation of process improvements.
- Participate in digitalization and automation projects leveraging Office 365 tools, such as Power Automate, Power BI, SharePoint Lists, and MS Forms, to enhance operational efficiency.
- Provide data collection and analysis to support quality, process and safety improvement efforts, generating actionable insights.
- Contribute to safety training programs and support the development of new safety initiatives.
Field Engagement:
- Conduct and participate in on-site Crew Site Inspections, Gemba Walks, and SOP compliance checks.
- Assist the Safety Specialist with safety and compliance inspections, monitoring safety programs, and addressing compliance needs.
- Collaborate with the Quality, Risk and Safety Specialist on safety audits, compliance activities, and initiatives aimed at maintaining a safe work environment.
- Review and ensure compliance with safety data sheets for all operational yards.
Interaction with Others:
- Collaborate with staff from Environmental Services (ES), Parks, Forestry & Horticulture Operations (PFHO), and Transportation and Fleet Management Services (TFMS) to support quality improvement and safety efforts.
- Engage with Public Works Staff to promote a culture of safety and continuous improvement.
- Attend meetings and maintain positive relationships with colleagues and stakeholders.
Other Duties:
- Undertake special projects and performs other duties as assigned, which are in accordance with job responsibilities or necessary department and corporate objectives.
- Responsible for ensuring compliance with the Ontario Health and Safety Act and Regulations and the Corporate Health and Safety policy and related procedures.
- Responsible for ensuring compliance with the Accessibility for Ontarian Disability Act (AODA) and related policy and procedures.
Qualifications and Experience
- Enrolled in or recently completed a program in Quality Management, Occupational Health and Safety, Industrial Engineering, or a related discipline.
- Must have well developed computer skills. Computer literate and proficient in MS Windows Outlook, Word, Excel, etc. Willingness to learn other specialized computer software applications and techniques as required.
- Familiarity with process improvement methodologies (e.g., Lean) and an understanding of workplace safety standards and compliance regulations.
- Strong organizational skills, with the ability to prioritize tasks and manage multiple projects effectively.
- Excellent communication and interpersonal skills to foster collaboration with diverse teams and stakeholders.
- Proficiency with Microsoft Office applications; experience with process mapping, data analysis tools and software is an asset.
- Knowledge of Office 365 tools (Power Automate, Power BI, SharePoint Lists, MS Forms) is preferred.
- Willingness to conduct field visits for inspections and compliance checks as part of the continuous improvement and safety mandate.
- Maintain a high level of professional conduct.
Working Conditions:
- Standard office environment with regular field visits for inspections, compliance checks, and Gemba Walks.
