At NPDC, we pride ourselves on being an inclusive and dynamic organization that values people, creativity, and progress.The Opportunity | Te āheingaNew Plymouth District Council (NPDC) is seeking a dedicated and detail-oriented Portfolio Coordinator to join our Project Management Office (PMO) team.The primary purpose of the Portfolio Coordinator role is to coordinate the governance, reporting, and recording processes for portfolios, programs, and projects. This role contributes to positive relationships with governance groups such as Steering Committees, Working Groups, and the Project Governance Group by ensuring effective, clear, and concise reporting for NPDC projects. You will report directly to the Portfolio Services Manager, working closely to ensure alignment with strategic goals and objectives.Key Responsibilities | Ngā haepapa matua

  • Coordination of portfolio, programme and project governance, reporting and recording process
  • Contribute towards positive relationships with governance groups such as Steering Committees, Working Groups and Project Governance Group by ensuring effective, clear and concise reporting is in place for PMO projects including:
  • Progress on timeframes and milestones and any variations to these
  • Project status reporting
  • Monitoring of Change requests and Demands requests
  • Risks and issues are monitored and dealt with in a timely manner
  • Accurate financial reporting
  • Support the establishment, maintenance and consistent adoption of NPDCs portfolio, programme and project frameworks, practices and artefacts, and champion the application of these to provide consistent and robust planning and delivery.
  • Provide training and coaching to the organisation in relation to NPDCs project delivery framework and tools, and any associated change management.
  • Provide technical support for NPDCs project management technology platform.
  • Reporting on key metrics through BI dashboard, working closely with the ICT and Finance to ensure monthly reports are accurate and relevant.
  • Facilitate portfolio level risk reviews and mitigation strategies that may impact on realising programme wide outcomes. Provide support in the analysis and mitigation of those risks or concerns.
  • Provide input and support to the LTP budgeting and project planning process

Essential Skills and Experience | Ngā pūkenga me ngā wheako

  • Formal Portfolio, Programme and Project qualification, e.g. MSP, Project Management Professional (PMP) or PRINCE2 certification
  • A minimum of 5 years’ experience designing and applying portfolio/programme and project management methodologies in broad project delivery environment that support effective planning and management.
  • Demonstrated experienced in supporting governance processes in large and diverse organisations
  • Proven experience with database and system implementation, development, and maintenance
  • System module development including visual communications
  • A strategic thinker with strong analytical, statistical and numerical skills with strong attention to detail and proven ability to diagnose root causes of problems and analyse complex issues to develop practical recommendations and robust strategies to address issues.
  • Experience in engaging senior stakeholders (Executives and business sponsors) and supporting effective decision making.

Desirable

  • Experience working with Kaupapa Māori, competency in Tikanga and a dedication to applying Te Ao Māori lens
  • Experience working in a complex public facing environment with working knowledge of Local Government legislation.
