We are an international workforce solutions provider within the energy, process and infrastructure industries. You will be responsible to provide payroll support services to APAC countries and multiple entities by processing timesheets and payroll accurately within tight deadlines. You are enthusiastic about service delivery in a shared services environment and provide excellent customer service to clients and focusing on process improvement. You are a team player and able to work collaboratively with a large team and will report to the Regional Payroll Manager. Our aim is to provide value-added services and solutions that are flexible and tailored to the circumstances and needs of our clientsPrinciple Accountabilities
- Maintain Client Relationships: Regularly provide excellent service to clients in assigned countries to keep a strong relationship.
- Oversee Payroll Operations: Manage daily tasks related to payroll, timekeeping, employee leave, and contractors’ data.
- Ensure Complete Payroll Process: Handle all aspects of payroll from start to finish, including entering data, checking pay slips, fixing errors, post-payroll activities, ensuring compliance, and making necessary policy changes.
- Report on Performance: Regularly share reports with managers to track progress and address any issues quickly.
- Manage Team Workload: Organize the team’s tasks and suggest solutions when resources or workloads change.
- Lead Team Development: Manage the team’s performance, provide coaching, and find growth opportunities for team members.
- Coordinate with Authorities: Communicate with pension providers, social insurance organizations, and tax authorities.
- Prepare Reports and Analysis: Create reports on workload, service level achievements, process quality, and efficiency.
- Solve Problems: Analyze complex payroll issues and guide the team to find solutions.
- Handle New Client Setups: Manage the setup process for new clients.
- Act as Payroll Expert: Be the go-to person for payroll and payroll tax issues in your country.
- Maintain Documentation: Keep internal documents like process maps and procedures accurate and up to date.
- Share Knowledge: Organize sessions to share knowledge internally and keep improving the knowledge base.
- Improve Processes: Find ways to improve payroll processes to make them faster, more efficient, and improve customer satisfaction.
- Build Relationships: Develop strong relationships with stakeholders and handle escalations proactively.
- Manage Team Resources: Ensure the team is properly covered during busy or critical times and offer support where needed.
- Prepare Payroll Reports: Prepare key performance reports and share them with the leadership team.
- Handle Ad-Hoc Tasks: Perform any other tasks assigned by the company when needed.
Skills, Knowledge, and Experience
- Degree min 8 years of experience in payroll administration and working knowledge of employee records/benefits in an international environment. Preferably Regional Exposure with min 6 countries statutory knowledge
- Experience with Regional countries, entities and currencies preferrable.
- Experience with end-to-end payroll cycle including Statutory Year End.
- Strong communication, people and influencing skills, with proven stakeholder management for all levels.
- High Adaptability to changing environments, collaborate and influence all levels to achieve operational effectiveness and efficiency in region.
- With Solid PMO experience in leading in 3 countries system implementation including UAT etc.
- Strong knowledge in Local and Foreign cross border payroll calculations and multiple currency.
- Previous exposure to payroll and employee taxes and clearance and liaising with government agencies.
- Knowledge of payroll and HRIS systems, TimesPay, Attache, FastTrack360 Software is an advantage.
- Attention to detail with analytical and problem-solving capabilities.
- Ability to handle highly sensitive data and working with large data sets and adhere to tight deadlines.
- Strong organizational, oral and written communication skills. Passion for providing outstanding customer service.
- Proficient in all Microsoft applications (Word, Excel & Power Point).
