Job description: Job Purpose:To oversee and coordinate end-to-end operational processes, ensuring seamless logistics, customs clearance, and timely delivery of vehicles. The Operations Executive will collaborate with internal teams, external stakeholders, and vendors to maintain efficient operations, accurate documentation, and high-quality service delivery for Milele.Duties and Responsibilities:

  • Coordinate with internal teams to facilitate smooth document transfers and customs clearance processes.
  • Collaborate with transporters, drivers, shippers, and consignees to ensure timely deliveries and collections.
  • Work closely with cross-functional teams (Quality Control, Warehouse, Accounts) to manage the operations process, including QC reports for incoming and modified vehicles.
  • Raise purchase orders (POs) and manage daily and monthly invoicing for clients and vendors.
  • Oversee inbound logistics, cross-verifying units with the Demand Planning team and logistics partners.
  • Maintain and update consolidated reports for all inbound and outbound units in the yard.
  • Coordinate with local suppliers for deliveries and manage document submissions to clearing agents.
  • Handle shipping documentation and customs processes, including coordinating with shipping lines for Bill of Lading (BL) status and arranging Delivery Order (DO) collections.
  • Manage vendor payments on a weekly and monthly basis, ensuring accurate tracking.
  • Manage team calendars and engage in active stakeholder management to resolve issues promptly.
  • Update and maintain daily, weekly, and monthly work progress reports.
  • Demonstrate a proactive approach, going above and beyond to ensure task completion.

Skills Required:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills for stakeholder management.
  • Proactive problem-solving and decision-making skills.
  • Attention to detail and accuracy in handling documentation and reports.
  • Proficient in MS Office Suite (Excel, Word, Outlook) and operational software.
  • Ability to work under pressure and meet tight deadlines.
  • Knowledge of logistics, customs processes, and supply chain management.

Qualifications (Academic & Professional)

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
  • 2 to 3 years of experience in operations, logistics, or supply chain management, preferably in the automotive or transportation sector.
