Job description: Job Description :Operations Coordinator and Assistant to the ExecutiveA busy company on the Sunshine Coast is looking for an Operations Coordinator and Assistant. If you are skilled, diplomatic, trustworthy, have a can-do attitude, a problem solver, thrive on variety, and can deal with deadlines while keeping your sunny disposition, then please consider applying for this position.Business tasks include:
- coordinate and support multiple executives with operational and management tasks
- manage calendars, book meetings and appointments
- review emails and action them out
- field scheduling requests and provide recommendations based on executive’s priorities
- manage agendas, calls and daily to-do lists from the incoming requests
- interact with various office suppliers
- HR onboarding and off boarding of resources
- manage Zoho One onboarding and training
- interaction with Legal department
- business shopping, pick up/drop off business parcels in Vancouver
- drive to offices in the Vancouver area
- organize the servicing and maintenance of vehicles
- events planning
- schedule maintenance and repair work, and supervising the projects
- management of 3rd party suppliers
- document reviews and filing of corporate paperwork
- research
- support the executives as required
Requirements
- Must be able to travel to Sunshine Coast and Vancouver offices
- Must pass criminal record check
- Must have a valid drivers license without any demerit points
- Must have at least 3 references
- Must speak fluid English (oral and written)
- Must be able to work flexible hours/days. This is not a typical 9-5 position due to the global operations of the company.
- Comfortable working in a hybrid environment (minimum 25% in-office, subject to change)
- Must be technology knowledgeable
- Ability to work in fast-paced environment
- Highly developed communication, presentation, leadership, facilitation and negotiation skills.
- Can do attitude! Any job at any time is not beneath you
- Exceptional oral and written communication and interpersonal skills
- Ability to work with all levels of management and be professional
- Ability to handle tasks simultaneously and bring tasks to closure
- Maintain confidentiality and discretion in business relationships and exercise sound judgment
- Work with autonomy and be proactive
- Must have own vehicle
BenefitsMonthly contract retainer on escalation scale:
- $3,000/month for the first 3 months
- $3,500/month for the next 6 months
- $3,750/month for the following 3 months
- $4,000/month from 1 year anniversary and onwards for the next 12 months (Year 2)
- $TBD for year 3
