The Faculty of Arts is dedicated to creating a diverse, equitable and inclusive environment for everyone.Position Purpose:Reporting to the Chair, School of Music, the Lead Coordinator, Cultural Activities is responsible for the coordination, planning, and execution of cultural and artistic events within the Faculty of Arts’ Music Department and the Fine and Performing Arts Sector. This position plays a central role in facilitating collaborations, overseeing the marketing and promotion of events, and ensuring the logistical and operational success of concerts, recitals, workshops, and other special cultural initiatives. The Lead Coordinator works closely with faculty, staff, students, external partners, and the broader community to enhance cultural programming while fostering an inclusive and vibrant arts environment. This role also involves managing/ respecting budgets for the various activities, leading recruitment efforts, overseeing non-credit arts programs, and providing supervision and mentorship to student assistants. The Lead Coordinator will contribute to the advancement of the Fine and Performing Arts’ cultural outreach by implementing best practices in public relations, marketing, and event management.In this role, your responsibilities will include:Event Coordination and Planning: Lead the coordination and production of cultural and artistic events in the department of Music and other departments in the Fine and Performing Arts Sector. Work with faculty members, students, and external organizations to develop and manage event schedules, programming, and logistics. Coordinate with the technical and facilities teams to ensure the successful setup and execution of events. Oversee the preparation and distribution of digital and print promotional materials, including flyers, posters, media releases, and program notes.Public Relations and Marketing: Develop and implement long-term marketing and communications strategies, in collaboration with internal and external stakeholders. Act as the primary liaison for external media relations, building and maintaining partnerships with local, regional, national arts and culture organizations (ex. the National Arts Center), and including schools, community groups, and media outlets. Lead the creation and distribution of publicity materials to enhance the visibility and engagement of the Sector’s cultural programming. Manage the Website and use it as a tool for promoting cultural activities, events, and initiatives, including overseeing the content updates and maintaining an engaging online presence for programs and events.Recruitment and Outreach: Collaborate with the recruitment committee to plan and execute recruitment initiatives, including concerts, tours, job fairs, and open houses. Develop and maintain relationships with high schools, music teachers, and potential students to increase awareness of the Music and other Fine & Performing Arts’ programs. Coordinate student performances, workshops, and outreach activities to engage with the broader community and prospective students.Program Management: Oversee the coordination of non-credit training programs, such as workshops, masterclasses, and summer courses. Provide support for the planning, promotion, and logistical coordination of these programs, ensuring high-quality delivery and alignment with educational objectives.Supervision and Leadership: Supervise student assistants, volunteers, and graduate students, providing training, mentoring, and support in the execution of cultural activities. Lead the recruitment and training of students for various roles, including technical support and event coordination. Supervise the work of external contractors such as the piano technician and other technical staff for events.General Administration and Collaboration: Ensure effective communication and collaboration within the Fine and Performing Arts Sector and other Faculty stakeholders. Act as the representative at community events and other public engagements. Contribute to the development of policies related to external use of performance spaces, event scheduling, and associated fees.What you will bring:Bachelor’s degree in arts administration, Event Management, Cultural Studies, Public Relations or a related field.5 years of relevant experience in arts administration or event management, particularly in a cultural, academic, or arts institution (such as a music school, theatre company).In-depth knowledge of the music industry and the arts community is an assetProven experience in arts administration, event coordination, or a related field, preferably within a higher education or cultural institution.Strong organizational skills and the ability to manage multiple projects simultaneously.Experience in public relations, marketing, and the development of promotional materials for cultural events.Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups, including faculty, staff, students, and external partners.Ability to work independently and as part of a collaborative team.Leadership and mentoring skills, particularly in supervising student assistants and volunteers.High attention to detail and a commitment to excellence in event production.Strong problem-solving and critical thinking abilities to address unexpected challenges and logistics issues during events.Capacity for creative and strategic thinking, particularly in marketing and outreach activities.Ability to manage relationships with multiple stakeholders and maintain a professional presence at public events.Technical knowledge related to event production, including audiovisual and stage management, is an asset.Experience working with or within the arts and culture community, including collaboration with external arts organizations, schools, and media.Bilingualism – French and English (spoken and written)Key Competencies at uOttawa:
