Discover a world of career possibilities with Sagan.Position Overview:We are seeking a proactive, detail-oriented, and trustworthy Invoicing & Bookkeeping Administrator to manage the invoicing and bookkeeping functions for our 24/7 maritime surveying teams. These roles are crucial to ensuring financial accuracy, maintaining seamless operations, and fostering trust across all processes. As part of the team, you will handle confidential communications, process invoices with accuracy, and support global operations by efficiently managing inquiries and directing tasks to appropriate account managers.Key Responsibilities:

  • Invoice Preparation and Follow-Up: Prepare, issue, and track invoices with precision and timeliness.
  • Email Management: Review and organize a high volume of emails, ensuring messages are promptly directed to the correct account managers for action.
  • Invoice Processing: Accurately process invoices by reviewing email quotes, ensuring all billing details are correct, and keeping financial records updated.
  • Global Communication: Facilitate clear, professional communication across global teams, ensuring seamless collaboration across time zones.
  • Report Preparation: Assist with the preparation of monthly client statement of accounts reports.
  • Administrative Support: Provide additional organizational support as needed to ensure smooth, round-the-clock team operations.
  • Learning and Development: Continuously enhance skills, adapt to industry practices, and grow within the company.

Qualifications and Requirements:

  • Minimum of 2 years of experience in invoicing and bookkeeping.
  • Proficiency in accounting software (e.g., Sage/Peachtree, QuickBooks, or equivalent).
  • Strong written and verbal communication skills with proficiency in English.
  • Exceptional attention to detail, organizational, and problem-solving skills.
  • Experience with Gmail and/or Front email software.
  • Ability to work independently in a fast-paced, global environment and respond flexibly to urgent communications outside standard business hours.
  • Commitment to confidentiality and the ability to handle sensitive financial information.

Preferred Skills:

  • Experience managing high volumes of communication.
  • Background in client management and invoicing/bookkeeping.
  • Positive, team-oriented attitude with adaptability to evolving needs.
