purpose of the role:
The role of the Inventory controller will include the following.

  • Act as a senior member of staff to support the Supply Chain management department & Finance directorate.
  • A customer focused senior management role that ensures efficient goods delivery throughout the organisation.
  • To develop the Supply Chain department using the best technologies and processes.
  • To provide leadership within the Supply Chain Department & finance department
  • To assist, lead, manage, analysis product catalogue, MRP, product development, KPI’s in the Supply Chain Department with strong attention to detail and problem solving.

This position is a senior member of the Supply chain management team and it will be expected that the position holder will drive the strategic development within the department through their own initiative, in line with the hospital’s strategic goals.Overview of role:
Key Duties and Responsibilities

  • Housekeeping, ensure all stock is maintained in good condition at a sufficient level and warehouse / other storage premises are kept in proper condition to make sure stock is in the correct location, have a product label with SAP code, Dynamics code, locations code and description, check a percentage of no less than 20 percent per week. To ensure stock is rotated to reduce out of date stocks.
  • To implement and manage all procedures, protocol and policies relating to supply chain or other types of stock within the organisation.
  • Be responsible for the effective management of Inventory control in Supply Chain department ensuing compliance with financial, audit and procurement regulations and that all inventory supply chain management transactions are accounted for, accurate and maintained.
  • Promote and foster positive staff relations to ensure operational process are implemented to standards of best practice.
  • Initiate and maintain effective mechanisms for communication, dissemination and receipt of information.
  • To present yourself for duty & make sure your dress is consistent with the position and hospital code also taking into consideration health & safety procedures within the department.
  • Manage weekly meetings with staff related to inventory control with agenda, record minutes of that meeting on the shared drive keeping notes. Manage all other meetings under your remit to ensure actions are carried out.
  • Organise, manage, delegate & record weekly cycle counts (stock taking).
  • Organise, manage, delegate & record stock counts (in departments within the hospital.
  • Manage & develop KPI’s to show the efficiency & value within the department.
  • To be available for the annual stocktake and preceding week each year.
  • Link in with Supplychain staff to ensure maximising efficiency in inventory control.
  • Manage PPE requirements & offsite storage units used by the hospital.
  • Update Supplychain managers on Inventory control on a weekly bases.
  • Manage weekly tasks with completed check list each week to ensure done.
  • Manage Inventory changes in Microsoft dynamics & advise staff accordingly to keep the system updated.
  • Manage & delegate the changeover of products on both systems.
  • Manage the setting up of stock products with coding St James’s.
  • Manage & instruct the goods inwards department on all process to ensure working efficiently in relation to inventory control.
  • Carry out instructions from your SCM & ASCM within your remit.
  • To carry out returns back to stock and suppliers in a timely fashion & ensure products are located in the correct location for propose.
  • To keep you workspace neat and tidy without undue clutter around.
  • To review MRP 3 times per year and report analysis to SCM & ASCM.
  • To review each product 6 monthly on outstanding issues with those products and report back to
  • SCM & ASCM
  • To keep the system updated and actioned on discontinued products linking in with the SAP helpdesk and to ensure done in a timely fashion.
  • Be proactive in pursuing and engaging in training courses to develop & up skill yourself in best practise within Supplychain.
  • To deputise for SC supervisors when not available.
  • Oversee stock location, allocation and continued housekepping.
  • Responsible to ensure the supply of goods is efficient and effective.
  • To liaise with internal and external customers of Supplychain.
  • Ensure the Supply Chain department will comply with all relevant hospital policies and assist other departments and relevant committees, by providing information relating to Supply chain management procedures that will assist in the achievement of value for money throughout the organisation.
  • To be proactive, engage and implement all new systems and work practises to improve delivery and savings to the organisation and customer.
  • Provide the Assistant Supply Chain manager & Supply Chain manager with regular information on performance.
  • Develop, implement, monitor and review standard operational procedures required by statute and best practice appropriate to the Supply Chain department.
  • Develop and foster a proactive Health & Safety culture having regard to legislative requirements and best practice.
  • Strive for excellence in customer service.
  • Investigate complaints received in connection within your remit in the department.
  • To act as the assistant or Head of Supply Chain in the absence of assistant or Head of supply Chain manager as required.

This role will be reviewed on an ongoing basis in order to meet the needs of an ever-changing healthcare environment. The foregoing is not an exhaustive list of duties/ responsibilities and any other duties appropriate to the post may be determined from time to time by the hospital.General accountability:

  • Commitment to continuous professional development including completion of relevant internal training programmes available through our Centre for Learning & Development Prospectus.

Leadership and staff management:

  • Completion of relevant training and availing of supports in the Leadership Academy including coaching, mentoring and leadership development as applicable.

Qualifications & Experience required
Must have:

  • Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent

Or

  • Have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher i.e. Fetac Level 5

Or

  • Have satisfactory relevant experience which encompasses demonstrable equivalent skills

And

  • 4 years’ relevant experience
  • Minimum of 1 years Supervisory / Management experience
  • 3rd level qualification in a relevant field
  • Practical experience of use of IT systems / packages
  • Fluent command and understanding of the English language to include spoken and written word

Reward & Recognition

  • Remuneration is in accordance with the Department of Health Consolidated Salary Scales, 1st March 2025.

€ 56,757 – €69,341 LSI

  • The appointment is whole time, permanent and pensionable.
  • The annual leave entitlement is 29 working days per year pro rata. The leave year runs from 1st April to the 31st of March each year.
  • Normal working hours are 35 worked over 5 days. Your contracted hours of work are liable to change between the hours of 8 am to 8 pm over 7 days to meet the requirements for extended day services in accordance with the terms of the Framework Agreement.
