Job description: Internal Customer Service Representative
£26,000 per annum, rising to £27,000 per annum after a 6-month probation period, plus a performance-based bonus of up to £1,500 per annumJob Type: Permanent | Full TimeLocation: Coleshill | Office BasedHours: Monday to Friday | 8am to 4.30pm OR 8.30am to 5pm | 38 hours per weekKey ResponsibilitiesCustomer & Contract Management

  • Process new customer contracts and follow-up agreements for existing clients.
  • Monitor and review washing quantity statistics for cleaning cloth customers, initiating stock checks when necessary.
  • Implement and enforce pricing structures in line with company policies.
  • Assess contract extensions and amendments based on value-added potential.
  • Identify and execute cost-saving measures to improve profitability.

Customer Support & Service Planning

  • Provide expert guidance and support to both new and existing customers.
  • Collaborate with the sales team to coordinate service visits and optimize planning.
  • Organize and execute customer service activities, including on-site visits when required.
  • Analyze customer data to track usage patterns and identify high-wear customers.
  • Work closely with internal departments such as logistics, sales, and production to ensure a smooth customer experience.

Administrative & Financial Tasks

  • Accurately document customer interactions and service details in CRM+ for ongoing support.
  • Communicate with customers via phone and email, ensuring clear and professional service.
  • Oversee business processes related to IT service instructions.
  • Manage invoice reviews, corrections, and coordinate with Accounting for timely billing and payment reminders.
  • Process contract cancellations and liaise with relevant teams to manage at-risk customers.

What We’re Looking For

  • Experience in customer service, contract management, or sales support roles.
  • Strong communication skills, both written and verbal.
  • Ability to analyse data and implement effective solutions.
  • Excellent organisation and time management skills.
  • Proficiency in CRM systems and Microsoft Office.
  • A proactive, customer-first mindset with a problem-solving approach.
