About The Role As an HR Compensation and Benefits Specialist (People Operations and Compliance Specialist) , you will ensure the seamless execution of HR operations, including payroll, benefits administration, and compliance management, while maintaining employee data integrity. This role focuses on aligning HR processes with labor laws and company policies, optimizing efficiency, and enhancing the employee experience through effective support and continuous process improvements. Responsibilities Compliance HR Data Management and Compliance Pre-employment Compliance: Ensure adherence to all legal and regulatory requirements during the pre-employment process, including contract management, background checks (such as NBI), completion of government forms, and other necessary documentation as part of onboarding. 201 File Management: Oversee the management and maintenance of 201 files post-onboarding to ensure all required documents are accurately stored and comply with legal and regulatory standards. Data Integrity & Security: Review and audit employee data in Hubspot/TMP or any HR tools to ensure privacy and regulatory compliance, ensuring all records and employee information are accurate and up-to-date in alignment with company policies and legal requirements. Audit & Reporting: Conduct regular audits of employee records, ensuring data integrity and compliance with privacy laws and regulatory requirements. Employee Movement & Compensation Administration Administer employee movements, including promotions, transfers, and salary adjustments, ensuring compliance with company policies and accurate reflection in employee 201 files and HR data tools (HubSpot, TMP, and any other HR data systems). Issue regularization contracts for employees completing probation, ensuring contract terms and changes are documented in the employee’s 201 file. Prepare and issue appointment letters for employee movements (e.g., transfers, promotions), ensuring compliance with company policies and proper documentation. Offboarding Management Oversee clearance completion, ensuring all approvals and documentation meet company policies. Manage final pay computation, ensuring compliance with relevant labor laws and company policies. Secure signed separation agreements and ensure proper documentation in the 201 file. Maintain and update employee records, ensuring offboarding data compliance with legal requirements and company policies. Benefits & Employee Data Reporting & Analysis Prepare and present regular reports on benefits utilization, costs, and trends to provide actionable insights for leadership. Analyze benefits data to identify patterns, highlight areas for improvement, and recommend enhancements. Assist the bi-annual HR survey to measure employee satisfaction with compensation, benefits, and HR services, ensuring data-driven improvements. Generate headcount and attrition reports, tracking turnover and retention metrics, and suggesting operational improvements. Operational Payroll & Benefits Administration Perform payroll calculations, including overtime, deductions, bonuses, and other compensation-related adjustments, ensuring compliance with company policies and local tax regulations. Ensure accurate and timely payroll processing by verifying employee data, benefits deductions, and compliance with compensation policies. Ensure compliance with local tax regulations, labor laws, and company policies regarding employee compensation. Administer and manage employees benefits programs, including HMO, fringe benefits and statutory benefits, loan programs, and other perks. Ensure proper enrollment, updates, and communication of benefits information to team members, keeping records up-to-date in HRIS (Hubspot, TMP). Assist employees with payroll and benefits-related inquiries and disputes, providing timely and effective solutions. Employee Support Respond to employee inquiries on HR policies, benefits, and procedures via the ‘ASK HR’ channel, ensuring accurate and compliant information is provided while also assisting with documentation and records management. Provide administrative support for HR operations, ensuring all processes adhere to legal and regulatory standards, including documentation management, report generation, and policy updates. Maintain compliance by assisting with the upkeep of employee records, ensuring that all documentation (e.g., for audits) is accurate and aligned with company standards. Support cross-functional projects led by the Senior HR Operations & Development Lead, ensuring that compliance measures are effectively integrated and that operational tasks support organizational goals. HR Operation Support (Operations & Compliance Focus) Evaluate and optimize HR processes from a compliance and operations perspective, ensuring that all activities meet internal policies and regulatory standards while minimizing redundancies. Support HR projects by assisting in refining workflows and processes to align with business objectives, ensuring that every process maintains efficiency, legal compliance, and employee data protection. Implement best practices to ensure compliance with labor laws and enhance overall service delivery, working closely with the Senior HR Operations & Development Lead to ensure strategic alignment. Competencies And Qualifications HR & Compliance Expertise: Strong understanding of HR best practices, labor laws, statutory benefits, and compliance standards, ensuring HR processes align with legal and regulatory requirements. Data Management & Accuracy: High attention to detail in managing sensitive HR data, ensuring data integrity, confidentiality, and compliance with company policies. Payroll & Benefits Administration: Hands-on experience in payroll processing, benefits enrollment, and compliance-driven benefits administration. Analytical & Reporting Skills: Ability to analyze HR and benefits data, track trends, and generate reports with actionable insights for continuous improvement. Employee Support & Communication: Strong verbal and written communication skills to effectively address employee inquiries, explain policies, and provide compliance guidance. Problem-Solving & Decision-Making: Proactive in identifying HR and compliance-related issues and implementing effective, compliant solutions. Adaptability & Process Improvement: Ability to adapt to evolving HR needs, implement process improvements, and optimize HR operations for efficiency and compliance.
