As a Governance Coordinator, you’re the linchpin that ensures everything runs smoothly, from Council meetings to the election finances, this role is dynamic, fast-paced, and essential to the city’s governance.The Governance and Information business unit is comprised of four teams -Elected Member Support, Democracy Services, Official Information and Privacy, and the Corporate Library.   • Coordinate Council and Committee meetings, ensuring everything from catering to room setup is flawless.
  • Organise travel for Elected Members and the Governance and Information team, adhering to Council policies.
  • Handle purchase orders and assist with reimbursements for Councillors and community board members.
  • Develop strong working relationships with the Executive Leadership Team, Leadership Group, and Council staff.
  • Identify opportunities for continuous improvement in Governance and Information processes.

A big portion of this role is the set-up of Council Chambers and Committee Rooms for all meetings, briefings, and workshops so a high level of fitness will be required as there will be lots of organising rooms between floors.Who We’re Looking ForWe’re seeking a proactive, detail-oriented individual with:

  • Certificate in Business Administration or Hospitality and/or at least one year’s equivalent work experience in a finance or administrative role.
  • Effective time management and organisational skills.
  • Ability to self-manage and prioritise tasks.
  • Excellent written and oral communication skills.
  • High level of diplomacy, confidentiality, political awareness, resilience and impartiality.
  • Proficiency in Microsoft Office and familiarity with audio-visual technology.
  • Ability to process complex information with attention to detail.
  • Self-motivated with a high degree of initiative.
