The market unit CEE starts with Austria in the West up to Kazakhstan in the East and covers all countries in between which sums up to overall 24 countries. Assignments involve work of highly confidential or complex nature, necessitating exposure to sensitive information and contacts requiring discretion, judgment and diplomacy as well as detailed knowledge of company operations, organizational procedures and personnel. The Assistant also handles detailed meeting planning, conference calls, domestic and international travel arrangements, correspondence; creation, maintenance and compilation of reports/spreadsheets, and proactively assists with projects as needed.Essential Duties and Responsibilities

  • Provides complex screening, fielding, prioritizing of inbound communications via telephone, mail, and e-mail to resolve issues in a timely manner
  • Fully manages the calendar of assigned executive ensuring meetings / conference calls are set up
  • Reconcile travel and expense reports
  • Coordinates detailed travel arrangements, as well as meeting and event planning
  • Participate and coordinate team meetings/events, and other activities that improve operations and morale
  • Writing skills to draft communications intended for a wide audience
  • Ability to compile compelling PowerPoint presentations that are clean and professional
  • Demonstrates a proven ability to analyze data, research information and problem-solve
  • Works autonomously to manage projects and maintain communication with interested parties.
  • Exercises discretion and independent judgment in the performance of duties
  • Possesses a thorough knowledge regarding the administrative role and provides support, mentoring and guidance to colleagues
  • Cross-team communication (Sales, HR, IT, Marketing, Communications)
  • Cross-region cooperation (mainly within CEE region)
  • Coordination of local assistants/executive support within the region

Qualifications

  • Fluent in English is a must
  • Bachelor’s or Associate degree preferred
  • Proficient in Microsoft Word, Outlook, PowerPoint and Excel
  • Relevant experience in project management
  • Relevant experience in advanced problem solving and analytical skills
  • Developed interpersonal / communication skills with a high degree of professionalism
  • Enthusiastic and energetic with a commitment to quality
  • Ability to multi-task in a fast-paced environment
  • Highly organized, with good time/management skills
  • Willing, interested and eager to learn about the business
  • Overall knowledge about CEE region (geopolitical situation, culture, working style) is a plus
