We think BIG, act BOLD and execute with PURPOSE in all that we do, and will stop at nothing to cultivate the ultimate cannabis experience for our community.Job Summary:Reporting to the VP Logistics and VP S & OP The Executive Assistant will have considerable skill working as an executive assistant in a fast-paced and dynamic industry and is comfortable working across multiple time zones. They will be highly organized, possess strong decision-making skills, proven ability to establish priorities, exceptional interpersonal skills, polished communication skills, and ability to exercise good independent judgement.
The Executive Assistant is experienced working with all levels of an organization, communicating with sensitive stakeholders, and maintaining professionalism and utmost confidentiality.Major Responsibilities / Duties:

  • Supports the Vice Presidents’ to ensure the smooth flow of information and activities in a multifaceted operation with ever-changing priorities
  • Oversees the email of the Vice Presidents as required, handles sensitive information appropriately and uses good judgment in problem solving
  • Maintains a close working relationship with other departments within the company
  • Serve as the primary point of contact for internal and external stakeholders on business matters
  • Prepares agendas, attends meetings, schedules, and takes minutes at internal and external meetings as requested
  • Prepares and submits expense reports
  • Handles and prepares all aspects of confidential and sensitive documents, ensures critical timelines are met. Collects, consolidates information, and schedules
  • Composes, reviews, and follows through on internal and external communication with a commitment to accuracy and attention to detail
  • Assists with internal and external communication efforts; organizes and coordinates special events and projects
  • Supports projects and research as required
  • Coordination of the Vice Presidents daily calendar and scheduling of appointments
  • Communicates information and instructions staff to his/her team and outside agencies/individuals as required
  • Coordination of travel arrangements (accommodation, flights, vehicles, etc.) as requested
  • Assisting the Vice Presidents’ direct reports as required

Knowledge, Skills & Abilities:

  • Proficiency in the use of computer software for word processing, spreadsheets, email, Internet
  • Strong technical skills, adept with Google Apps for Business, Google Office, MS Office, and familiarity with is an asset.
  • Ability to act with minimal supervision, discretion, maturity, and with absolute confidentiality
  • Ability to work under tight timelines and to balance multiple and varied projects at one time
  • Thorough knowledge of corporate communications, spelling, grammar, and basic accounting
  • Exceptional written, verbal, and interpersonal communication skills
  • Ability to inspire trust and confidence in relationships with others; the ability to exercise diplomacy when dealing with customers and to provide leadership, organizational and decision-making skills
  • Understanding of Operations processes and information within an organization, including, but not limited to, services such as Planning and Procurement, Cultivation and Manufacturing, Quality, Logistics and Supply Chain would be considered.

Education & Experience:

  • A minimum of 5 years’ experience supporting senior leadership in an executive assistant capacity
  • Experience within a public company, preferably in a large organization is an asset
  • University Degree, College Diploma or Certificate in Business, Office Administration, or related relevant education is an asset
  • Bilingualism (French and English) is an asset

Working Conditions:Commitments and engagements may extend beyond regular office hours and although this role generally does not require attendance at such events or significant overtime, there are times when it will be necessary to provide support beyond regular office hours across multiple time zones around Canada and across the world.Why you’ll love working at Aurora
