international J&J internal meetings, educational courses and third party events.
These include events like:
- Educational courses up to 50 participants (f2f within EMEA and virtual) for Sales Learning & Development (internal
employees) and Educational programs for Healthcare Professionals (external customers)
- Webinars
- Internal meetings & non educational
- Symposia / flagship events
Events take place in J&J owned facility and off site.You will be responsible for:
- Partner with internal and external stakeholder and manage all logistical aspects of events e.g. venues, hotel rooms, travel, catering, audio visual, external vendors etc. and deliver events on time, within budget
- Delegate management: Create and publish events in the Global Event Registration System ( cvent ), manage registration and oversee registration information, prepare pre and post event communications
- Collaborate with approved Global Meeting & Travel Agency on venue/hotel research, site selection, contract negotiations and travel bookings
- Actively collaborate with internal departments e.g. Professional & Commercial Education, J&J Institute, internal Catering & Service companies, Health Care Compliance, Finance, IT, Procurement, etc.
- Actively manage and oversee events on the day of, including reactive problem solving, directing event set up, communicating and supporting all staff members
- Prepare pre budget and manage cost reconciliation and cross charges after each event
- Report KPIs and other metrics, e.g. Net Promoter Score, delegate numbers, budgets, expenses, etc.
- Pro actively participate in various projects
- Occasionally willing to work unsocial hours
Qualifications
- Excellent customer experience and exceptional customer service skills
- Excellent organizational and administrative skills, including attention to detail and multitasking skills with the ability to prioritize
- Excellent, clear and concise communication skills with the ability to influence and develop tailored solutions
- Familiarity and flexibility working in a fast paced, demanding and deadline driven environment.
- Ability to work on own initiative but also being a natural team player, who can work collaboratively with colleagues in a diverse and remote team and will pitch in as required, demonstrating loyalty and commitment to the organization and team members
- Solution driven and outcomes focused with a proactive, can do attitude and good problem solving skills with the ability to manage conflicts constructively
- Excellent skills in Microsoft office software, Cvent knowledge preferred
- Fluent in English, both written and verbal (other languages preferred)
- Educated to Higher Education or equivalent caliber (University degree in Business administration/events/tourism/marketing and/or an apprenticeship in the tourism business or hotel or event agency area)
- Customer service experience essential
- Minimum of 3 years of working experience
- 2 3 years Health Care Industry Experience preferred
- Ensure excellent event execution and delivery
- Enhance the Events Experience by being customer centric and solutions oriented
- Drive quality to a consistent standard as well as set new, higher standards and support to implementing those by challenging the status quo, thinking outside of the box, and diligently following through commitments
- Ensure events adhere to Health Care Compliance guideline and other regulations and be transparent with all aspects of non compliance
- Follow the latest event industry trends like technical solutions, vendors, system capabilities, etc.
- Ensure correct usage of branding and CI within all communication to drive consistency within the customer experience
