Job description: Key Responsibilities:

  • Maintain a comprehensive and up-to-date contract management system, including accurate entry and regular updates of contract data (start and end dates, financial terms, deliverables, amendments, etc.) into Excel sheets and digital databases.
  • Assist in drafting all types of contracts, ensuring clarity, accuracy, and compliance with organizational policies, legal standards, and applicable regulations.
  • Maintain physical filing systems, ensuring all contract-related documents are securely stored, properly indexed, scanned and easily retrievable for audits and management reviews.
  • Monitor contract and supplier compliance, identifying and addressing deviations or issues in a timely manner and report to line manager.
  • Track supplier performance against key performance indicators (KPIs) as per procurement standards of Organization, and prepare performance reports to support contract renewals, terminations, or corrective actions.
  • Prepare and submit regular weekly and monthly contract status reports for review by the line manager and senior management, highlighting upcoming expiry dates, renewals, key milestones, and compliance issues.
  • Collaborate closely with internal stakeholders (procurement, finance and program teams) to ensure contract terms are clearly understood and properly implemented.
  • Provide guidance, support, and periodic information to staff on contract management policies, procedures, and best practices to ensure consistency and compliance across departments.
  • Conduct periodic records updates for audits and reviews of existing contracts and associated records to ensure full adherence to internal controls, donor requirements, and organizational standards.
  • Assist in continuous improvement of contract management processes, templates, and systems to enhance efficiency, accuracy, and risk mitigation.
  • Education: Master’s degree in Business Administration, Economics, Supply Chain Management, or related field.
  • Experience: 3–5 years of experience in contract management, administration, procurement, legal support, or a related field.
  • Skills:
  • Strong knowledge of contract law and procurement principles.
  • Excellent attention to detail and analytical skills.
  • Effective communication and negotiation abilities.
  • Proficiency in contract management software and Microsoft Office.
  • Ability to manage multiple contracts and priorities under tight deadlines.
