Reporting to the Programming Manager, the Telling Tales Community Programming & Volunteer Coordinator will work collaboratively with the Programming Team under the leadership of the Executive Director to plan and coordinate the Telling Tales Community programming (Virtual School events and in-person EarlyON and After Care events). They will support event administration and onsite activation, including: presenter communication, contract development, tech rehearsal oversight for virtual educational presentations, interactive activity development for in-person events, data entry/tracking). Additionally in lead up to the Telling Tales Festival they will play a key role by providing support to the Telling Tales team in areas of volunteer coordination acting as a key liaison with volunteers. The Community Programming & Volunteer Coordinator will focus on strengthening ties to the local community, broadening the diversity of our growing volunteer base, and encouraging participation in the cultural activities produced by Telling Tales. The Community Programming & Volunteer Coordinator will be required to be present for the Telling Tales Festival on October 4th & 5th, 2025.Telling Tales author and story-based programming is guided by the research and consultation of an Occupational Therapist with the aim of creating an inclusive and experiential environment for children of all abilities.Job Duties and Requirements
Programming Coordination (Nov – Dec)

  • Support Programming Manager in coordination of presenter visits to schools (virtual), EarlyON daycares and After Cares (in-person)
  • Support Programming Manager day-of events (either virtual or in-person) with set up, transfer of workshop materials, event observation for reporting, etc
  • Support publisher and presenter communications: inviting chosen presenters, booking presentations, creating contracts, setting up (tech) rehearsal zoom meetings, coordinating with operators for in-person events, etc.
  • Help to generate Event Summaries post-event (reporting)
  • Maintain a welcoming, safe, and secure environment for all event participants
  • Providing thoughtful feedback using the SWOT (Successes/Weaknesses/Opportunities/Threats) method at project completion to help the organization to learn and grow

Volunteer Coordination (Sept – Oct)

  • Lead outreach efforts focusing on reaching volunteers working with disabilities, young people/students, new Canadians, senior citizens, citizens developing their English language skills, and those who face other socio-economic barriers to accessing cultural activities
  • Conduct outreach, recruitment, training, and deployment of the volunteer team
  • Follow procedures for screening, volunteer agreement, and job descriptions and keep resources updated and circulated before the annual festival
  • Plan and oversee volunteer safety and well-being; identify and implement individual accessibility accommodations as needed
  • Play a key supporting role in the smooth execution of the 2-day Festival and all events, both live and digital where volunteers are present
  • Build and manage the Salesforce database and website components that relate to volunteer roles
  • Organize the Volunteer Appreciation event

Skills & Qualifications

  • Minimum 1 year office administration experience in a not-for-profit organization, preferably in the arts and culture sector
  • University or college degree or diploma, ideally in performing arts administration or equivalent combination of education and experience
  • Hardworking, organized, and motivated individual with a passion for community outreach and education
  • Experience working with educators and children
  • Attention to detail and highly organized
  • Excellent interpersonal skills and communication skills
  • Considerable experience working in a team-oriented, collaborative environment.
  • Ability to work independently or collaboratively
  • Ability to work in a fast paced environment with changing demands
  • Proficiency in Google Suite and Zoom
  • Must have transportation and be willing to work at events and meetings on weekends and evenings as needed
  • Valid first aid certification is an asset
  • Valid Police Vulnerable Sector Check for working with vulnerable populations is an asset

Expected salary: $22 per hour
