Job description: Company DescriptionHamilton City Council owns over 300 buildings that support the various Council activities and services. Our facilities team provide in-house facilities management services for these buildings and structures. Included in this is the management of our Corporate buildings, including the main Municipal and Caro buildings.They make sure our facilities are in great condition and managed well, so we can all do our best work on behalf of the city. They provide maintenance forecasting, building compliance, contract management and energy management to each of the activities.Job DescriptionHe angituutanga: The opportunityReporting to the Business Support Team Leader you will be responsible for providing administrative and support services, including customer services, accounts, work requests, Cardax system and key management.Some of the key outputs of the role are:

  • Stationery supplies are maintained including weekly checks of consumables for printers.
  • Provide contract administration support.
  • Provide assistance with data collection and presentation as required.
  • Invoices, Unimarket and PSP procedures are actioned promptly and in line with Standard Operating Procedures.
  • Completed all financial processes for payments.
  • Accurate payment records are kept, and unit expenditure is tracked.
  • Process reactive maintenance requests in a timely manner.
  • Planned maintenance work orders are generated monthly.
  • Completed work orders are closed as required.
  • Requests for service are actioned and resolved satisfactorily.
  • Customer requests are resolved promptly.
  • Cardax security cards are issued, deleted or replaced in a timely manner.
  • Access to organisational facilities – bike sheds and basement lockers are managed accurately and efficiently.

  • Minimum of 2 years experience in an administrative position.
  • Ability to work with customers to understand their needs to ensure information and services are provided that meet their requirements.
  • Experience processing invoices and financial information.
  • Experience with invoicing systems and administrative databases.
  • Competent with the MicroSoft Office Suite of applications particularly Word and Excel.
  • Excellent verbal and written communication skills.
  • Ability to work independently.
  • Methodical working style with a high level of attention to detail.
  • Experience in a Local Government environment, or similar large corporate or trades related organisations.
  • Experience of work order processing systems (IPS) and Financial systems.
  • Experience with electronic filing systems.
  • Intermediate level of computer literacy including the MicroSoft Office Suite of applications.
  • Full Drivers Licence.
