Job title: Business/Administrative Support – Event Planning – Contract

Job description: Our client is looking for a skilled and detail oriented candidate to provide administrative support and event management support for a contract position with a possibility of permanent employment.RESPONSIBILITIES:– Event Planning: Provide event planning capabilities to the BU to assist in achieving yearly financial objectives. Liaise with different teams within BU (marketing and sales) and other divisions to create cross-functional efficiencies. Assist Function Leads with the planning, coordination, management and execution for regional and national sales event.
– Procurement: Create purchase orders (POs) and vendor-related submissions into SAP
– Office Management: Participate in planning and organizing office activities and internal meetings, such as upper management market visits (when applicable). Liaise with the Office Manager and Business Support Lead for specific events.
– Leadership Support: Provide business support to Business Unit Director and occasionally to other functions
– Sponsorship Management: Process sponsorship requests for the different teams as directed by the respective Marketing Teams.
– Data Management: Maintain and update records, databases, and reports related to business operations and event planning.
– Communication: Facilitate effective communication between teams and departments to ensure smooth operations and collaboration.
– Budget Management: Monitor and manage budgets for events and office activities, ensuring cost-effective solutions.Qualifications:
– 5+ years of administrative and event management experience with an emphasis on project support and the ability to carry out projects with tight deadlines.
– Ability to work with a set budget and negotiate with vendors.
– Understanding of the industry and client preferences for events.
– Self-motivated with strong organizational skills.
– Demonstrated ability and initiative to work with minimal supervision and handle multiple tasks with tight deadlines, while also working in team environments.
– Demonstrated resourcefulness, with the ability to anticipate needs, prioritize responsibilities, and take initiative.
– Excellent communication skills, with the ability to respond professionally in written and email messages.
– Proficiency with Microsoft Office, SAP, Ariba and Concur
– Ability to communicate and work effectively with all levels of management and colleague business styles.
