Job description: As a Business Administration Specialist, you will play a key role in supporting the Business Director and Senior Management Team by ensuring the smooth and efficient running of daily operations. This dynamic position involves coordinating executive activities, managing office operations, and handling various financial administration tasks. Additionally, you will oversee the administration of the company’s car parking facilities in collaboration with a third-party provider, contributing to the seamless functioning of the workplace.What You’ll Do:Provide high-level administrative and operational support to the Business Director and Senior Management team, including scheduling meetings, managing correspondence, preparing reports and presentations, and attending meetings to take notes and coordinate follow-ups.Facilitate effective communication between the Business Director, internal teams, and external partners to ensure timely completion of action items and support seamless collaboration.Organise and coordinate executive meetings, events, travel arrangements, and site visits as needed, including arranging hospitality and managing travel bookings.Support the Senior Management team in integrating AI technologies to improve operational efficiency, including researching AI tools, coordinating with IT, and assisting with implementation and monitoring.Oversee day-to-day office management, maintaining a productive and welcoming workspace by managing office supplies, equipment, service contracts, and vendor relationships.Administer the company’s car parking contract with an external supplier, managing reporting requirements and supporting the transition to ANPR technology in 2026.Assist with general office duties, such as printing, photocopying, archiving (including off-site), updating management records (telephone lists, on-call rosters, org charts), maintaining site noticeboards, and supporting new starters.Ensure compliance with company policies and support ad hoc duties as required, including answering phones, door access, coordinating site-wide communications, and adapting to the evolving needs of the business.What You Bring:

  • Proven experience in executive support or coordination roles, ideally within a busy office environment.
  • Strong organisational and multitasking abilities with excellent attention to detail.
  • Basic understanding of financial processes and administrative procedures.
  • Excellent communication and interpersonal skills.
  • Proficiency with office software (e.g. MS Office, Excel, Visio) and familiarity with financial systems is a plus. Ability to handle sensitive and confidential information with discretion.
  • Self-motivated with a proactive approach to problem-solving.
  • Keen to develop through eLearning and other training as deemed necessary.
  • Ability to prioritise and carry out instructions.
  • Occasional flexibility in working hours may be required to support the Business Director or company event
