As we expand, we are seeking a Billing, Payroll, and Financial Tracking Specialist to join our team. This role offers the opportunity to contribute to the financial health of the business, ensuring accurate billing, payroll processing, and financial tracking to meet operational goals.Key Responsibilities:
Accurate Client Billing: Generate accurate invoices for clients based on the care provided, including the number of hours worked, services rendered, and applicable rates. Ensure that billing reflects any special agreements, insurance coverage, or government programs (e.g., Medicare, Medicaid).
Timely Invoicing: Issue invoices promptly to ensure consistent cash flow and prevent delays in payments that could affect the business’s financial operations.
Insurance and Payment Handling: Track and manage insurance claims and payments from government programs. Follow up on unpaid claims and ensure payments are processed according to contractual terms.
Clear and Transparent Statements: Provide clients with clear, itemized statements of services rendered, maintaining transparency to prevent misunderstandings and disputes over charges.
Managing Client Contracts and Pricing: Track and update client contracts, including service rates, payment schedules, and adjustments for special care needs, additional hours, or equipment. Ensure billing systems accommodate any changes in client agreements.
Accurate Payment to Caregivers: Process caregiver payroll accurately and on time, including calculating hourly wages, overtime, bonuses, and deductions (e.g., taxes, benefits, garnishments).
Tax Compliance: Ensure payroll complies with local, state, and federal tax laws by withholding appropriate taxes from caregiver paychecks and submitting required quarterly or annual filings.
Managing Benefits: Track accruals and deductions for benefits such as health insurance, paid time off (PTO), and retirement plans, ensuring that caregivers receive correct benefits based on their employment status and hours worked.
Tracking Hours and Overtime: Manage timekeeping and accurately track regular and overtime hours worked by caregivers, ensuring they are compensated according to the appropriate wage rates for different shifts.
Compliance with Labor Laws: Ensure payroll functions comply with all relevant wage laws, including minimum wage regulations and overtime pay, preventing legal issues and ensuring that the business operates within the law.Qualifications:
Strong understanding of payroll processing and financial management in a service-based environment.
Experience with billing systems, invoicing, and financial reporting.
Knowledge of local, state, and federal tax regulations, including compliance with labor laws and tax filings.
Strong attention to detail and accuracy, especially when handling client billing and caregiver payroll.
Ability to handle confidential financial information with integrity.
Strong organizational and time-management skills to handle multiple tasks and deadlines.
Ability to work well both independently and collaboratively with the finance and HR teams.
Familiarity with QuickBooks and other payroll and bookkeeping software is a plus.
