They are now expanding and looking for an Administration Support Officer to join their Manila team! As the Administration Support Officer, you will be responsible for all administrative tasks and support activities for the team, ensuring that you meet the required service level agreements.KEY RESPONSIBILITIES
- Work alongside the Preventative Maintenance Coordinator and Service Coordinator to action tasks as assigned and check in for any required assistance.
- Act on any urgent emails within the first hour of the day.
Launch jobs from client portal information and assign them to subcontractors or in-house technicians. * Assign jobs in the client portal to the technician attending and sign technicians in and out of the site within client portal apps.
- Follow up with subcontractors for attendance paperwork and create safety documentation for attending technicians.
- Confirm results sheets match quantities in the asset register and modify asset registers to ensure data quality.
- Set up client portals for invoicing, update tracking spreadsheets, and create spreadsheets for asset uploads to asset builders within our database.
- Close out jobs in the client portal.
- Additional tasks as assigned by management.
SKILLS, EXPERIENCE & QUALIFICATION
- A Bachelor’s degree in a relevant field.
- A minimum of three years experience in administrative support.
- Experience in managing daily reports and invoices
- Exceptional communication abilities, encompassing both verbal and written skills.
- Possesses a detail-oriented approach and excellent organizational skills.
- Tech-savvy individuals are required to proficiently navigate communication tools and systems, including software like Adobe PDF and MS Office.
- Possessing strong interpersonal skills, capable of resolving issues both efficiently and effectively.
- The capacity to work independently, possess self-motivation and maintain a high level of drive.
- A strong work ethic, paired with the capability to perform under pressure and adhere to strict deadlines
- An innate problem-solver with a forward-thinking approach.
